The Director of Student Center and Events/Student Activities provides leadership and direction for meetings and event planning for the campus community (students, faculty, and staff) and external clients (summer activities and events). The director oversees space reservation and utilization in the Student Center; develops strong working relationships with campus partners such as Facilities Management, Campus Safety, Athletics, Campus Life, student organizations, and academic building coordinators; and provides structured and sequential co-curricular activities designed to facilitate the social, intellectual, physical and ethical dimensions of the Talladega College Student. The Director of Student Center and Events/Student Activities reports directly to the President of the College and coordinates programs/activities with the Vice President of Student Affairs. Projected opening date - spring 2020.

Responsibilities

  • Ensures high level quality standards and customer service through pre-and-post meetings for major events and customer satisfaction surveys.
  • Responsible for external event management marketing, and sales.
  • Provide leadership and direction for major events on campus including external events and summer activities.
  • Responsible for contract negotiations for external events.
  • Works with the Office of the General Counsel to develop and revise contracts.
  • Develops cost estimates based on event requirements and College standards and provide to College community.
  • Develops strong relationships with external clients to ensure repeat business.
  • Coordinates risk management assessments in close collaboration with Campus Safety.
  • Ensures a daily maintenance, appearance, and sanitation inspection is completed for each of the venues commonly used for major events on campus.
  • Maintains accurate and updated data including receipts of executed contracts, insurance certificates, and deposits by stipulated deadlines.
  • Ensures training and certifications are completed for key staff members. Ensures events are managed within College policies, procedures, and state laws and guidelines and reports any infraction to the President or VP of Student Affairs.
  • Help establish the annual budget for conference and event services.
  • Works in close collaboration with direct reports to monitor budgets and assess financial goals.
  • Develops a budget for replacement of furniture, fixtures, equipment, and carpeting as needed.
  • Updates the annual rate sheets for the College, affiliated and non-College events.
  • Reviews and submits the financial analysis report for event services.
  • Reviews and submit all invoicing of events against each event contract for compliance and accuracy.
  • Reviews profit and loss statements for all external events.
  • Establish effective communication with all faculty, staff, outside constituents to provide announcements and updates.  Establish timely and accurate communications with student groups.
  • Submits roadway signage requests to the Police Department for approval to post for major events.
  • Distributes the weekly events/student activities calendar/College bulletin to the campus community resolving possible conflicts in scheduling.
  • Evaluate all student activity programs and recommend changes where desirable.
  • Encourage the involvement of students, faculty, and staff in student activities and programs through the weekdays and weekends.
  • Must consult with students, individually or in groups, on problems that may emerge in connection with their adjustment to social programs on the College.
  • Serve as coordinator of Freshman Orientation and returning student events.  Serve as liaison between various student organizations and the Division of Student Affairs.
  • Maintain policy/procedures for student elections (Mr. /Mrs. TC, Class Officers, and other organizations.
  • Keep an official list of campus organizations and their officers and advisors. 
  • Make sure social events are provided with chaperons and create a list of such chaperons from which organizations may make selections from as the occasion may require.
  • Provide oversight of the Pan Hellenic Council.
  • Orientate all campus agencies of the rules and regulations regarding facilities, fees, etc.
  • Other duties as assigned by supervisor.

 

Qualifications
Bachelor’s degree required in Management, Business Administration, Student Personnel Administration or closely related field. Preferred master’s degree in Management, Business Administration, Student Personnel Administration or a closely related field. Experience with contract administration, sports complex events, summer camps, concerts and other large events preferred.

Knowledge, Skills and Abilities
The selected candidate must have knowledge of the hospitality industry, with experience in event planning, technical and equipment needs, and management of large events. The selected candidate should have a commitment to continuous learning, development, and research on current (best) practices and the ability to work with a wide range of students, staff, and faculty in a diverse college setting.  He/she should be able to demonstrate the ability to effectively operate software including Word, Excel, Access, Outlook, the internet and social media. The candidate is required to have the ability to effectively deal with deadlines, work in a fast-paced environment, track transactions, and resolve disputes and to prioritize multiple projects simultaneously. He/she should be detailed oriented with well-developed planning, organizational and problem-solving skills and have knowledge of student life. Excellent customer service skills and the ability to communicate effectively both orally and in writing are additional requirements of the position.
