Responsibilities

The Administrative Assistant for the Dr. William R. Harvey Museum of Art/Library needs a creative, thoughtful, enthusiastic and team-oriented individual. The candidate should be a creative and highly motivated individual with a positive attitude, who will assume responsibility for clerical office work and will serve in other areas of the Museum/Library as needed or assigned. This position will report directly to the Director of Museum and Library Services.

Specific Duties
  • The Administrative Assistant manages the daily operations of the office and serves as principal and confidential assistant to the supervisor.
  • Perform responsible and varied para-professional library duties and maintains the official files and records for the museum and library office.
  • Perform administrative support duties, maintaining a variety of reports, such as time (i.e. sick leave, vacation time), attendance, personnel action, payroll, correspondence and budget records.
  • Coordinate meetings including scheduling, developing agendas, program materials and travel arrangements.
  • Allocate work, when needed, to librarians, curator, or assistants/part-time staff.
  • Perform work in special units including circulation, reference, technical services, or as assigned.
  • Participate in selection of materials by making suggestions.
  • Follow prescribed routine of library materials.
  • Maintains inventory and sales receipts for gift store and admittance to the museum.
  • Receive and deliver telephone messages and generally acts independently providing information and/or referrals.
  • Required to follow job related instructions and perform other job related activities as requested by supervisor.
  • Additional duties as required.
Qualifications
  • Bachelor's degree or equivalent training and experience required.
  • Previous Library or Museum work preferred.
  • Must have the ability to work under pressure and facilitate multiple detailed tasks.
  • Must have excellent communication and interpersonal skills.
  • Must exhibit professionalism, integrity and confidentiality.
  • Proficient in Microsoft Office programs.
  • English grammar, spelling and punctuation skills; office methods, procedures and practices; ability to communicate effectively, orally and in writing required.
