Job Summary

The Administrative Assistant (facilities/maintenance) is to provide support to the Director of Facilities Management and report directly to him/her.

  • Serve as an office manager to assist with maintaining a variety of records, supplies, calendar, schedules (time reports, work orders, receipts, quotations, bids, fiscal information, etc.) for the purpose of providing documentation in accordance with administrative and legal requirements.
  • Performs record keeping (confidential and non-confidential) and general and program specific clerical functions (e.g., copying, faxing, scheduling, etc.) for the purpose of supporting the administrator with necessary materials.
  • Answer and direct phone calls, take messages, and answer routine and non-routine questions.
  • Manage the key control system which includes maintaining the key log system and cabinet.
  • Manage work order system and follow-up to ensure that work orders are completed in a timely fashion.
  • Other duties as assigned.

Individual must possess the knowledge and the following skills and abilities or be able to perform the essential functions of the job with or without reasonable accommodation, using some other combination of skills and abilities.

  • Great attention to detail, strong organizational skills and the ability to maintain confidentiality.
  • Strong interpersonal skills with an ability to maintain a high level of customer service.
  • Be able to work creatively, independently and collaboratively as a team member and be able to multitask and prioritize projects.
  • Excellent oral and written communication skills.
  • High school diploma or equivalent.
  • Minimum of two years of college or business school or any combination of education, training and experience that provides the knowledge, skills and abilities required for this position.
  • Minimum of two years of administrative experience with increasing responsibility.
  • Advanced computer skills, including proficiency in MS Office products.
  • Demonstrated proficiency in business writing and oral communication using correct grammar.
  • Proficient and accurate typing skills.
  • Experience in construction, facilities management, asset management, insurance or risk management, or a related field is preferred.
